CaptureNInvoice ("we", "our", "us") is a proof-of-work invoicing platform for service businesses. We help contractors document completed jobs, create invoices, and collect payment from clients.

2. What Data We Collect
We collect only what we need to run the service:
- Account information — your name and email address when you register.
- Invoice data — job details, line items, amounts, due dates, and notes you create inside the app.
- Photos and attachments — images you upload as proof of work and attach to invoices.
- Client information — names, email addresses, and contact details of clients you add to the app.
- Payment information — payment transactions are processed by Stripe. We do not store card numbers or sensitive payment data on our servers.
- Usage data — basic information about how you use the app (pages visited, features used) to help us improve the product.
3. How We Use Your Data
Your data is used to:
- Deliver and operate the CaptureNInvoice service
- Process payments and track invoice status
- Send invoices and payment links to your clients on your behalf
- Send you transactional emails (invoice confirmations, payment receipts)
- Respond to support requests
- Improve and develop the product
We do not sell your data. We do not use your data for advertising.
4. Third-Party Services
We work with a small number of trusted third-party providers to operate the service:
- Stripe — payment processing. When a client pays an invoice, the transaction is handled by Stripe. Stripe's Privacy Policy applies to payment data.
- Email provider — we use a transactional email service to send invoices and notifications. Emails contain only the content you create (invoice details, proof of work).
- Cloud hosting — our infrastructure is hosted on secure cloud servers. Data is stored in encrypted form at rest.
These providers are only given access to the data they need to perform their function. They are not permitted to use your data for any other purpose.
5. Data Storage and Protection
- Data is stored on secure, encrypted servers.
- We use HTTPS for all data in transit.
- Access to production data is restricted to authorised personnel only.
- We do not store payment card details — all card data is handled entirely by Stripe.
No system is 100% secure. If you have concerns about the security of your account, contact us immediately.
6. Data Retention
We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes (such as payment records).
7. Your Rights
You have the right to:
- Access — request a copy of the data we hold about you.
- Correction — ask us to correct inaccurate data.
- Deletion — request that we delete your account and associated data.
- Portability — request your data in a portable format.
